Privacy Policy

This Privacy Policy explains how Nickomi Inc., operating as Calgary Custom Concepts (“CCC,” “we,” “us,” or “our”), handles information when authorized users use the Calgary Custom Concepts Email Assistant (the “Application”). The Application is a private internal productivity tool and is not offered as a public consumer service.

1. Information the Application accesses

After an authorized Google account holder grants access through Google OAuth, the Application may access information associated with that account as permitted by the scopes displayed on Google’s consent screen. Depending on the authorized function, this can include:

• Email messages, threads, headers, sender and recipient information, labels, drafts, attachments, and related Gmail metadata.
• Information needed to search, review, organize, label, draft, send, and otherwise manage authorized email.
• Basic Google account information such as the account email address.
• Gmail settings only when needed for an authorized administrative function.
• OAuth credentials and technical logs required to maintain secure account access and diagnose errors.

2. How information is used

We use Google user data only to provide and improve user-facing email productivity functions requested by authorized CCC personnel. These functions include email search and review, inbox triage, project and customer correspondence, preparation of drafts, sending approved messages, email organization, and authorized account administration.

We do not use Google user data for advertising, profiling for advertising, determining creditworthiness, or selling information. We do not use Google user data to train generalized artificial-intelligence models.

3. Human access

Authorized CCC personnel may review information when needed to perform the requested business function. Other human access is limited to circumstances where the account holder gives affirmative permission, access is necessary to investigate security or technical problems, or access is required by law.

4. Service providers and disclosure

The Application may use infrastructure, hosting, automation, security, and artificial-intelligence service providers acting on our behalf. Google user data is transferred to a provider only when necessary to perform a function requested by an authorized user, protect the Application, or comply with law. Providers are expected to process information only for the contracted purpose and under applicable confidentiality and data-protection obligations.

We do not sell Google user data or disclose it to data brokers, advertising networks, or unrelated third parties.

5. Storage and security

OAuth credentials and limited operational data may be stored on systems controlled or configured by Nickomi Inc. Access is restricted to authorized personnel and systems. We use reasonable administrative and technical safeguards appropriate to the sensitivity of the information, including access controls and secure authentication. No system can be guaranteed completely secure.

6. Retention

Information is retained only for as long as reasonably necessary to provide the requested functionality, maintain business and security records, comply with legal obligations, and support limited backup and recovery processes. Email remaining in a user’s Google account continues to be governed by that user’s Google settings and retention choices. OAuth credentials are retained until access is revoked, authorization expires, or the integration is removed.

7. Deletion and revocation

Users can revoke the Application’s Google access at any time through the third-party access controls in their Google Account. Revocation stops future API access but does not automatically delete legitimate business records already retained by CCC. An authorized user may request deletion of Application-held data by contacting admin@calcustom.ca. We will respond subject to legal, contractual, security, and legitimate business-record requirements.

The Application is intended only for authorized business users and is not directed to children.

10. Changes to this policy

We may update this Privacy Policy to reflect changes in the Application, legal requirements, or our data practices. The effective date above will be updated when material changes are made.
